Vaani starts with an outbound voice call to confirm or collect information. If the call succeeds, a WhatsApp message follows with confirmation details, links, or next steps. If the call fails (no answer, voicemail, or the patient requests a callback), Vaani retries according to your rules and can fall back to WhatsApp-only. Complex or sensitive cases are routed to your staff with full context.
No. The voice call is the primary interaction and works on any phone. WhatsApp is used as a follow-up channel for confirmations and links. If a patient does not have WhatsApp, the voice call alone is sufficient to complete the workflow. SMS fallback is also available.
Currently Hindi and English, including code-switching (mixing both in a single conversation, which is common in Indian phone calls). We are adding support for more regional languages based on pilot feedback. WhatsApp messages can be templated in any language.
Most pilots go live within 7–10 days from signing up. We configure the voice scripts, WhatsApp templates, and handoff rules based on your workflow. The pilot runs for 30 days on one branch or department so you can measure results before scaling.
When Vaani detects a situation that needs a person — a complex reschedule, an upset patient, or an edge case outside its rules — it creates a ticket with the full call transcript, patient details, and reason code. Your staff can pick it up via WhatsApp notification, email, or your existing ticketing system.
Every call begins with clear identification and purpose. Patients can opt out at any point during the call or via WhatsApp reply. Opt-out requests are processed immediately and the number is added to a suppression list. Vaani only calls during business hours that you define, and we do not retain personal data beyond the workflow duration unless you configure otherwise.
For the pilot, you just need a way to share your appointment list — a CSV file, Google Sheet, or a simple API endpoint. Vaani handles the calling, WhatsApp messaging, and reporting. For deeper integrations, we support webhooks and can connect to popular HMS/EHR systems, but this is not required to start.
